Delete Your GroundFlow Account
This page explains how to request deletion of your GroundFlow account and
the data associated with it, what we delete, and what we are required to
keep. It applies to everyone who uses the GroundFlow mobile app or web app.
Before you start: employer-managed accounts
GroundFlow is workplace software. Most accounts are created by an employer
— a company that uses GroundFlow to schedule crews, track time, and
manage work orders — and are tied to that company’s account.
If your employer created your account, the work records attached to it
(timesheets, work orders, vehicle inspections, and similar) belong to your
employer, not to us. We can delete your personal profile and your ability
to sign in, but we cannot delete your employer’s business records on
your instruction alone. See What we keep, and why

You can still submit a deletion request to us directly using the steps
below. We will process it, tell you exactly what was removed, and tell you
what was retained and for how long.
How to request deletion
Option 1 — Email us
- Send an email to contact@groundflow.io
- Use the subject line: Account Deletion Request.

Include the following so we can locate and verify your account:
- The email address you use to sign in to GroundFlow
- Your full name as it appears in the app
- The name of your employer or company, if you have one

Whether you want your entire account deleted, or only
specific personal data removed (see below)

We will reply to confirm your identity. For security, we may ask you to
reply from the email address on the account, or to confirm a detail only
the account holder would know. We will never ask you for your password.
Deleting data without deleting your account
You do not have to close your account to have personal information removed.
You can ask us to delete any of the following while keeping your account
active:
- Your profile photo
- Your personal (non-work) email address and phone number
- Your home address and the map coordinates derived from it
- Your emergency contact details
Note that some of these fields may be required by your employer for
scheduling or safety reasons, and removing them may limit what you can do in
the app.
What happens after you request deletion
- We acknowledge your request within 5 business days.

Once your identity is verified, we complete the deletion within
30 days. -
If your account is employer-managed, we notify your employer’s
administrator that the account is being closed, because it affects their
scheduling and payroll records. -
We email you a confirmation when it is done, listing what was deleted and
what was retained. -
Account deletion is permanent. Once complete, you can no
longer sign in, and deleted data cannot be restored. -
Encrypted backups are purged on a rolling cycle and are fully overwritten
within 90 days of deletion.
What we delete
When you delete your account, the following are permanently removed from our
live systems:
- Your sign-in credentials and authentication records
- Your name, work email, personal email, and phone number
- Your profile photo
- Your home address and its stored map coordinates
- Your emergency contact names, phone numbers, and relationships
- Your device push-notification tokens
- Your app preferences and session data
What we keep, and why
Some records cannot be deleted on request, because they are business records
belonging to your employer or because we are legally required to keep them.
Wherever possible, these records are
anonymized — your name is replaced with a
non-identifying label such as “Former employee” and personal
contact details are stripped.

Once the applicable period above has passed, these records are deleted or
permanently de-identified on our normal purge cycle.
If your employer closes your account
Your employer can also deactivate or remove your access at any time, for
example when you leave the company. That removes your ability to sign in,
but it does not automatically delete your personal profile data. If you want
your personal data deleted as well, send us a request using the steps above.
